What Is ATS
Applicant Tracking Systems (ATS) are software applications that help employers manage their recruitment process. They serve as the first filter between your resume and a human recruiter.
Common ATS platforms: Workday, Greenhouse, Lever, Taleo, Jazz HR, Bamboo HR, iCIMS.
What ATS does: Receives and stores resumes, parses documents extracting text, compares against job requirements, scores/rankings candidates, forwards qualified resumes to recruiters.
According to research, 75% of resumes are never seen by human eyes.
How ATS Works
ATS parsing involves several steps:
1. Document Upload: Resume uploaded as .docx or .pdf 2. Text Parsing: System breaks down resume into sections 3. Data Extraction: Identifies job titles, company names, dates, degrees 4. Keyword Scoring: Compares against job description 5. Ranking/Filtering: Scores and ranks candidates
Important: ATS doesn't understand context perfectly. It looks for pattern matches, not meaning.
ATS-Friendly Formatting
Good ATS formatting ensures your resume is parsed correctly.
Recommended: Single column layout, standard section headings, simple fonts (Arial, Calibri), standard bullet characters, .docx or .pdf format.
Avoid: Two-column layouts, text boxes, headers and footers, tables, images/graphics, custom bullet characters.
File format notes: .docx generally best for parsing, .pdf usually fine, .txt safe but loses formatting.

Keyword Optimization
ATS keyword optimization ensures your resume matches job requirements.
Keyword strategy: 1. Extract from job description: Required skills, tools, industry terms 2. Place strategically: Summary (2-3 terms), Skills section, Experience bullets 3. Match exactly: Job says 'project manager' - write 'project manager' 4. Include variations: 'Managed, management, manager' 5. Don't over-stuff: Include keywords naturally, 5-7 mentions typically sufficient

Testing Your Resume
Before submitting, test your resume for ATS compatibility.
DIY testing: 1. Copy/paste test: Copy all text, paste into plain text. If formatting lost, may have ATS issues. 2. Keyword test: Save as .txt, search for key terms from job description. 3. Apply to test job: Submit to similar posting, check response.
